Finance Administrator – Role Description

SIAL.charity has a fantastic opportunity for a Finance Administrator to become part of our dynamic and bilingual team based in Holland Park, London.
The successful candidate will be:
- bilingual (English/Italian)

- available to work from the office 5 days a week during term time and flexible working during school holidays
- UK resident (all candidates will be asked to provide evidence to support their right to work in the UK)
- committed to Safeguarding children and young people. All staff will undertake thorough interviewing and referencing checks and hold, or be prepared to undergo, an Enhanced DBS check that must be registered on the Update Service

The duties and responsibilities of a Finance Administrator may vary, but the following is a list, by no means exhaustive, of the key duties and responsibilities for the role here at SIAL.charity.
Main Purpose
In consultation with the Board and the Head Teacher of SIAL.school and the Coordinator of SIAL.courses, to organise, maintain and monitor the Charity’s financial and personnel systems and manage office functions to ensure an effective service to the Charity.
Finance
1. Administer and monitor the financial systems in order to ensure that the school finances are kept in an accurate and timely manner.
Main Activities
- Work with the Head and the Courses Coordinator to ensure that financial administration is carried out in accordance with the Financial Management Standard
- Reconcile the general ledger
- Ensure relevant data is accurately entered into the system
- Ensure transactions are properly recorded and entered into the computerised accounting system
- Preparation, recording and monitoring of the budgets (including departmental budgets)
- Establish and maintain supplier accounts
- Undertake and assist in the preparation, recording and processing of invoices
- Prepare balance sheets
- Assist with the annual audit
- Maintain financial files and records
2. Oversee the accounts payable and accounts receivable systems in order to ensure complete and accurate records of all moneys.
Main Activities
- Assist to ensure the safeguarding of charity funds
- Process orders and payments (including invoices) as instructed by the Head and the Courses Coordinator
- Reconcile the accounts payable
- Reconcile the accounts receivable
- Reconcile deposits
- Administer the payment of ad hoc expense claims as appropriate
3. Support the Head and the Courses Coordinator in producing statistical information as required.
Support for the charity
- Act as assistant to the Head and the Courses Coordinator including dealing with highly confidential and sensitive issues.
- Be aware of and comply with policies and procedures relating to health and safety, safeguarding, security, confidentiality and data protection, reporting all concerns to the appropriate person.
- Contribute to the overall ethos/work/aims of the charity
- Participate in training, other learning activities and performance development as required
- Attend and participate in meetings as required
- Performing any other duties as can be reasonably expected within the boundaries of the office environment.

Support the charity’s commitment to safeguarding children and promoting their welfare at a level appropriate to this role.
Salary range:
£25,000-£35,000 depending on experience
